This Privacy Policy explains how VinaV Software Solutions ("we", "us", "our") collects, uses, stores, shares and protects information when you use our websites and applications.
It applies to all products we publish, including:
Where a product has its own additional policy, that policy applies together with this one. In case of a conflict, the product-specific policy governs for that product.
When you register, we collect your name, email address, mobile number, business or organisation name, and the password you set (stored only as a salted cryptographic hash — we never store or see your password).
You may sign in using a third-party identity provider instead of a password. In that case we receive only the limited profile fields listed below, and only after you approve the request on the provider's own consent screen:

We do not request access to your contacts, friend list, posts, photos, pages or any other content from these providers, and we never post anything on your behalf.
Our applications are business tools. The records you create in them — for example resident, student, parent, staff, room, invoice, payment, expense, inventory, task and complaint records — are stored so we can provide the service to you.
Paid subscriptions are processed by our payment gateway, Razorpay. Card numbers, UPI PINs, CVV and net-banking credentials are entered on the gateway's own secure page and are never sent to or stored on our servers. We retain only the transaction reference, amount, date, status and the plan purchased, which we need for billing and accounting.
We automatically collect device model, operating system version, application version, IP address, timestamps, crash reports and error logs. This is used for security, abuse prevention and fixing faults.
Our mobile applications may request the following permissions. Each is optional, each is requested only when you use the feature that needs it, and refusing one does not block the rest of the application:
We do not use your data for advertising, and we do not sell or rent personal information to anyone.
Where Facebook Login is offered, it is used only to authenticate you. Specifically:

Our website uses Google Analytics to understand page views, traffic sources, and general visitor interaction. Google Analytics may use cookies or similar technologies to collect usage information. We protect information using HTTPS/TLS for all data in transit, salted cryptographic password hashing, bearer-token authentication, role-based access control so each user sees only what their role permits, secure credential storage on the device (Android Keystore), and access-restricted cloud infrastructure.
No method of transmission or storage is completely secure. We cannot guarantee absolute security, but we maintain the safeguards above and review them as our products change.
We keep your information for as long as your account is active. After you close your account or ask us to delete it, we remove your personal data from our live systems within 30 days, and it is purged from encrypted backups within 90 days.
We may retain a limited set of records for longer where the law requires it — for example invoice and payment records kept for tax and accounting purposes. Such records are retained only for the required period and are not used for any other purpose.
You can request deletion of your account and associated personal data at any time, at no cost, by either method below:
What happens next: we verify that the request comes from the account holder, confirm receipt within 7 working days, and complete the deletion within 30 days. Backup copies are purged within 90 days. We will tell you in writing once the deletion is complete.
What is deleted: your profile, login credentials, sign-in provider connections (including any Facebook Login connection), and the business records held under your account.
What is kept: only invoice and payment records we are legally required to retain, and anonymised statistics that can no longer identify you.

Our products are business tools intended for administrators and staff aged 18 and over. We do not knowingly allow children to create accounts and we do not knowingly collect personal information directly from children.
Where a hostel or institution records data about a minor as part of its own operations, that institution is the controller of that record and is responsible for obtaining any consent the law requires. If you believe a child has created an account with us directly, contact us and we will delete it.
Our servers are located in India. If you use our products from outside India, your information is transferred to and processed in India. Where the law requires it, we put appropriate safeguards in place for such transfers.
We may update this Privacy Policy from time to time. The revised version will be posted on this page with a new effective date. If the changes are significant, we will also notify you in the app or by email. Continuing to use our products after a change takes effect means you accept the updated policy.
